Privacy Policy
RoboticForce builds AI implementations, automations and private AI systems for small and mid-sized businesses. This page explains what personal information we collect, why we collect it, who we share it with, and how you can exercise your rights.
On this page
1. Who we are
RoboticForce Inc. is an Ontario, Canada based company. For the purposes of Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law, RoboticForce Inc. is the organisation responsible for the personal information described here.
2. What we collect
Information you give us
- Contact details you submit through our forms: name, email address, phone number, business name and website.
- What you tell us about your project: goals, existing systems, budgets, timelines, and any files or links you choose to send (for example a logo or a reference site).
- Correspondence with us by email, SMS or phone.
Information created when you use our services
- Client account records: what we have built for you, support history, and invoices.
- Payment records. Card details are entered directly with our payment processor and are never stored on our systems.
Information collected automatically
- Website usage data through Google Analytics: pages viewed, approximate location derived from IP address, device and browser type, and referring source.
- Standard server logs that our hosting provider keeps for security and reliability.
3. How we use it
- To reply to your enquiry and prepare a proposal.
- To deliver, support and bill the services you have engaged us for.
- To send service messages about your account, and occasional updates about our services where the law allows it. You can opt out of marketing messages at any time.
- To understand which pages are useful so we can improve the site.
- To meet legal, tax and accounting obligations, and to prevent fraud or abuse.
We do not sell personal information, and we do not use your information to train third-party AI models. Where we use AI tools in delivering work, client material is handled under the confidentiality terms of the engagement.
4. Cookies and analytics
We use Google Analytics to understand aggregate traffic to this website. Google Analytics sets cookies that record a random identifier, the pages you view and how you arrived. We do not use advertising or remarketing cookies, and we do not attempt to identify individual visitors from this data.
You can block or delete cookies in your browser settings, and you can install Google's browser opt-out add-on. Blocking analytics cookies does not affect your ability to use the site or contact us.
5. Who we share it with
We share personal information only with service providers that help us operate, and only as needed for the purpose described above:
- Hosting and infrastructure providers that run this website and our internal systems.
- Our payment processor for subscription and invoice payments.
- Our email and SMS delivery providers, for the messages we send you.
- Google, for website analytics as described above.
- Professional advisers (accounting, legal), and authorities where we are legally required to disclose.
Some providers process data outside Canada, including in the United States. Where that happens, the information remains subject to this policy and to the provider's contractual obligations to us.
6. Our internal Google tooling (Google API access)
RoboticForce operates internal research and operations tooling that connects to Google using OAuth. That connection requests a single permission: the ability to view and edit Google Sheets spreadsheets.
It is used exclusively against spreadsheets inside RoboticForce's own Google Workspace account — for example, our internal tracker of public-sector procurement opportunities and our client delivery checklists. The tooling does not access client Google accounts, Gmail, Drive files, calendars or contacts, and it is never used to read a spreadsheet that a client owns unless that client has explicitly shared it with us and asked us to work in it.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Spreadsheet content accessed this way is not sold, not used for advertising, and not used to train generalised AI models.
Authorisation can be revoked at any time from the Google Account permissions page (myaccount.google.com/permissions), which immediately ends the tooling's access.
7. How long we keep it
- Enquiry and proposal records: up to 24 months after our last contact, unless you ask us to delete them sooner.
- Client, contract and invoice records: seven years, as required for Canadian tax purposes.
- Server logs: up to 90 days.
- Analytics data: per our Google Analytics retention setting, currently 14 months.
8. Your rights
Subject to applicable law, you may ask us to:
- Tell you what personal information we hold about you, and give you a copy.
- Correct information that is inaccurate or incomplete.
- Delete information we no longer have a lawful reason to keep.
- Withdraw consent to marketing messages or to analytics where consent applies.
Write to [email protected] and we will respond within 30 days. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada, or your provincial privacy regulator.
9. Security
We use access controls, encrypted connections and least-privilege access to protect the information we hold, and we limit who inside RoboticForce can see client data. No system is perfectly secure; if a breach affects your personal information we will notify you and the appropriate regulator as required by law.
This website is not directed at children, and we do not knowingly collect information from anyone under 16.
